EAGAN HISTORICAL SOCIETY
TUESDAY
May 3, 2016
3:30 p.m. – 2nd Floor Conference Room
Members present: Chair Mary Ellen Voracek, Millie Gignac, Ted Ringberg, Lori Tripp, Greg Oxley,
Kern Hough, and Dawn Simpson. Also present was Communication Coordinator Joanna Foote.
MEETING MINUTES
The minutes from April 5, 2016 were accepted as presented.
HISTORICAL SOCIETY BUSINESS
1914 Town Hall Display Reassembly & Open House Prep
Communications Coordinator Foote commended Tripp for the clean-up at Old Town Hall.
Tripp noted the windows need to be cleaned. Foote spoke with the ECC Maintenance
Coordinator Sipper for a recommendation. Sipper will get a quote for cleaning of the
interior and exterior windows.
Other items noted by Tripp:
• two new brackets are needed for the book shelves
• take off tape on vent and start up air conditioning
• hole in floor needs patching
• windows have tape residue that needs to be removed
Display Proposals
Communications Coordinator Foote noted the first phase of the proposal was received from
Drew Sternal, the designer from LA Inc.; Drawings were circulated of the proposed displays
and the group discussed. Foote noted the display system would cost approximately $2,000,
to accommodate the 60 display panels. The display panels (high quality plexi-glass) would be
about $4,000. She indicated there are lighting options: mini lights that clip on the cable,
and/or a lighting bar.
Tripp noted the two panorama photos (Milk Producer’s Picnic and the Trinity Lone Oak
Church Anniversary) were brought to a photo specialist for reproduction. When complete,
she will bring them for professional matting and framing.
Foote clarified previous information given to the members regarding a potential large donor
that has approached the City regarding a possible contribution to the 1914 Town Hall project.
Little is known about the donor except that he or she would be recognizing someone other
than himself/herself. Foote noted that several possible options are being developed that
could allow recognition of an individual at the Town Hall site:
• the property could be designated as a park, and then named for an individual
• recognition signage on site could take several forms
• a gathering spaces with seating and recognition options could be constructed
She reiterated that no decisions have been made and the City has incomplete information
about the potential donor or the possible amount, at this time. More information and ideas
will be discussed and considered as we learn more.
OPEN HOUSE & RECOGNITION EVENT PREP
June 12, Open House Plan
Framing and display coordination is underway for the Sunday, June 12 Open House from 11
a.m. to 2 p.m. Members will need to advise on their availability to staff the event. Several
work sessions are planned in May.
Set Recognition Event Date & Details
Members determined that the previously discussed date of May 18 for a recognition event
would not be feasible as there is not enough time to prepare. They therefore concluded that
the event should be held Thursday, September 8 from 5 to 7 p.m.
The original idea of hosting a “cocktail” style party had been discussed for the event, with
beer and wine and light appetizers could be served. Guests could stand, view displays and
would not need specific table seating as there is not room for this in the Town Hall. Foote
noted that she has since found out from the City Clerk, that because the Historical Society is
not a 501c nonprofit, they cannot get a waiver to serve/bring in beer and wine. Instead, a
restaurant that already has an alcohol/catering license would need to hired.
Members discussed options and it was decided that some type of food be served, but not
necessary to have alcohol. Further details will be discussed at the next meeting.

The next regular meeting is scheduled for Tuesday, June 7, 2016 at 3:30 p.m.

ADJOURNMENT
The meeting adjourned at 5:00 p.m., and moved to the lobby area.
Items discussed included:
• taking orders for t-shirts. Tripp will place the order
• question regarding an additional handicap parking stall at the Town Hall. This will be
discussed further at the June meeting
• extending the meeting time (start earlier or schedule to end later) as the meetings are
routinely running longer. This too will be placed on the June agenda and Foote will attempt
to secure additional meeting room time
