Document - Historical information/data - Minutes of the City Celebration Committee - 5/29/1985 CITY OF EAGAN MINUTES OF THE CITY CELEBRATION COMMITTEE May 29, 1985 A special meeting of the City of Eagan City Celebration Committee was held on Wednesday, May 29, 1985, at 4:30 p.m. at the Eagan Municipal Center. Present were resident members Carol Bergh, John McElligott and Mary Voracek; Bob Treichel representing the Volunteer Fire Department; Larry Wenzel representing the Chamber of Commerce; Bruce Harries representing the Jaycees; Brad Benzick representing the Optimists; and Don Klober representing the Fourth of July Association. Also present were City Councilmember Ted Wachter and Administrative Assistant Holly Duffy. Absent were resident members Rod Smith and Sandra Masin, Ken Ketcham representing the Eagan Lions, Loren Nelson representing the Ministerial Association and Richard Bertz representing the Minnesota Valley Exchange Club. Approval of Minutes Benzick moved and Voracek seconded the motion to approve the minutes of the May 6 and May 13, 1985 meetings as presented. All voted in favor. Membership Chairperson Wenzel reported that Ken Ketcham has moved out of state and no longer will be a member of the committee. Since Ketcham represented the Lions Club and there are several members of the committee who also belong to the Lions, Ketcham will not be replaced for the present. It was also noted that City Administrator Hedges and City Councilmember Wachter will act as liaisons to the Minnesota Valley Exchange Club until Bertz returns. Benzick informed the committee that he will be out of town the weekend of the celebra- tion. Therefore, he will continue to work on the Lone Oak Tree project and the Optimists have appointed Jim Unker to be on the turkey roast work commit- tee to which Benzick was appointed. Unker was present and the committee members welcomed him. History Book Duffy reported that the publication of the history book is on schedule. The book will be available for sale the weekend of the Fourth of July. Lone Oak Tree In the absence of Bertz, Wachter presented the committee's report. He suggested that an interim chair be appointed for this subcommittee. Benzick volunteered. A request for proposals (RFP) will be prepared by the City staff in order to receive proposals from sculptors (carvers) for the main trunk of the Lone Oak Tree project. It is anticipated that work will begin in late summer or early fall. Wachter and a friend will cut cross sections from the branches of the Lone Oak Tree the week of June 3. Benzick will be in charge of burning the Eagan logo onto the sections. Wachter suggested the possi- bility of making a display case from boards made from the tree if there is enough appropriate wood available. The committee was in favor of this idea 1 and will further discuss it at such time the project appears feasible. It was decided to set the price or prices for the cross section pieces at a future date when the amount and size of the pieces will be known. City Celebration Publicity Voracek and Duffy reported on the progress made to date. The celebration will be listed in the special summer sections of both the Minneapolis and St. Paul papers. The City Council has approved the placing of signs in the community, with the stipulation that they approve each of the proposed loca- tions before the signs are placed. Klober is checking on the construction of the signs and would have a report later in the meeting. Voracek recommended producing 3,000 to 5,000 flyers and delivering them to the more populated areas of Eagan. Duffy will work with Rosemount High School to get the basic posters and these will be put up as soon as possible. The Community Section of the Minneapolis Star and Tribune will publish a special article on June 27. Reporters from both the Eagan Chronicle and Dakota County Tribune/This Week News will run a series of articles weekly to keep the community informed and interest high. In addition, the Eagan Chronicle will publish a special tab- loid section on the City Celebration on July 1. Voracek has checked with the radio stations and will send them notices to air on their community events programs. Duffy reported that a display ad for the turkey roast and other events would cost $110.34 in the Eagan Chronicle. Wenzel moved and Benzick seconded the motion to publish the display ad two weeks before the celebra- tion. All voted in favor. All publicity will note the price of the tickets for the turkey roast where possible. Paper Products, Groceries, etc. Bergh reported that she has been checking on prices for the various paper and food items which would need to be purchased. She contacted Perkins and Tinucci's for cole slaw prices and will also contact other vendors and have prices available at the next meeting. She has checked with various vendors regarding the other supplies. "George," who is the manager of Country Club Market in Eagan, has worked with the Mendota Heights Lions Club in previous years and is very familiar with the needs of the project. In addition, he is willing to keep all goods which need to be refrigerated in his cooler until they are needed. The committee's consensus was to approve dealing with Country Club. Perkins will donate 1000 sugar packets for coffee. Country Club will also begin saving any bags of charcoal which are ripped for the use of the committee in roasting the turkeys. Pick U1&SetUp Wenzel reported that he has arranged for the pick up of the turkeys, the roasting equipment and the tent. He will take care of the thawing of the turkeys. Since he will be able to pick up the turkeys on the 5th, there will be a shorter thawing time, but a safer one. Treichel volunteered the use of a vacant Fire Station bay for the thawing. Wenzel will need six people on Friday night to help set up the main tent and six people Saturday night to help strike it. 2 Spitting, Roasting, Carving A Serving This committee has yet to make major arrangements. Most of their needs include people who will help with the various steps. A tent will be needed in whcih to carve the turkeys. It was suggested that the committee buy an inexpensive tent and sell it after the celebration. The committee will check on this suggestion. Duffy will contact the Park & Recreation Department to determine the number of tables they will be able to furnish. P.A. System Trail TV will furnish a P.A. system. Potatoes Masin was not present but had notified the committee that the price for the potatoes had increased to $700. The committee was concerned about the large increase in price and decided to wait until the next meeting when Masin would be present to further discuss this item. Miscellaneous Klober reported that he has arranged for the construction and painting of six signs. He is now seeking materials, hopefully free, from which to construct the signs. He will check with the sign maker to determine how much he will charge for the signs. The tickets have been printed for free and will be available at the next meeting. Wenzel will check with the Parks & Recreation Department to determine if they will be able to furnish metal posts on which to string the flags which will set off the cooking area. Meeting Date The date of the next regular meeting is Monday, June 3, at 4:30 p.m. at the Eagan Municipal Center. Adjournment The meeting was adjourned at 6:00 p.m. Date: May 29, 1985 hnd 3
