Stuff mail boxes week of BBQ. 2. Local stores. D. Signs. 1. Put up 1 month before (need k- minimum). 2. Take down day after event (Sunday). E. Letters. 1. Radio stations. 2. Newspapers. 3. TV Stations. II. RESERVE NECESSARY EQUIPMENT AND SUPPLIES A. Tent. 1. Reserved for July 6 from Cenex, a. Need truck to pick up before 3 p.m. on Friday, July 5, at Cenex in South St. Paul. (No topper), b. Need 4 men for pick up. c. Need truck with top rack. (long Poles) B. Tables and Chairs (from church or organization). 1. Seating for 250 inside tent and around area. 2. Need 6 tables for serving lines. 3. Picnic tables - 20. a. Set up outside tent. b. Make sure each table and bench. properly marked. C. Electricity. 1. Make sure there is adequate power supply. a. Electric roasters. (Need to plug in 3 electric roasters.) B. P. A. System. 2. Extension cords (heavy duty). a. Need 12 - 15 100= cords. b. Need some cords with multiple outlet ends. D. Fencing around tent. 1. Need 2501 rope (i") to set up walk-ways to get tickets and get served, 2. Stakes (to hang rope on) - Alternate could be a snow fence 2 E. Screened tent for carving turkeys. 1. Carving table will be provided by Ray Sonnek. 2. Sharp knives for carving turkeys. F. Saw horses- 1. Need 8 sets saw horses for supporting spits when tying turkeys on and storage after cooking. G. Turkeys. 1. 90 turkeys ordered (Minnesota Turkey Growers Assoc.) 2. Need to pick up Wednesday afternoon. (Will fill large van). a. 6 electric roasters. 1. Roasters need to be rectangular so the inserts are interchangeable. 2. 3 roasters with power source. 3- 3 roasters (not necessary to plug in) to be used for potatoes. b. 6 inserts only from roasters (total of 12 inserts all interchangeable). H. Roasting Equipment. 1. Equipment provided by Minnesota.Turkey Growers Assoc. Contact Ray Munson. a. Call Ray Munson and he will go to Fair- grounds with you. - b. Need trucks (possibly 2) with hitch for trailer for ground spits and roaster cart. 2. 4 or 5 long handled, flat bladed shovels. 3. 2 rakes (not broom type)t I. Charcoal- 1. 1200 pounds needed ('Wholesale available through local distributor call Jim No Clellan at Husky Industries), 2. Lighting fuel (kerosene will work). J. Water supply. 1. Two hoses with nozzles for shutoff. K. Potatoes. 1. Order 600 pounds. 2. Need potato wrap (each box has about 500 individual sheets). 3. Potatoes should be wrapped on Friday. a. Potatoes need to be washed, poked with a knife several times and wrapped. b. Will take 25 people about 2 hours to complete. 3 L. Serving pieces and Utensils. 1. 6 large aluminum roasting pans for cole slaw and rolls. 2. 3 large pans to serve butter pats (fill with ice) . a. Need smaller pans to fit inside. 3. Bowls for pickles. 4. Utensils needed; a. 6 tongs. b. 16 oven mitts (hot pads). C. 3 large serving spoons for cole slaw. d. 3 medium serving spoons for sour cream. 5. Salt, pepper and toothpick containers* a. Use baby food jars (3 per table). Mendota Heights Club has 25 sets-you can use. M. Coffee Equipment. 1. Rent 2 thermo units (100 cup each) to use for \ serving coffee. Reserve now (ABC Rental in So. St. Paul has them). 2. 2 or 3 coffee urns (100 cup each) to be used for making coffee. 3. Sugar packets. 4. Cream packets. N. Milk. 1. Order 1 pint cartons. 0. Asbestos Gloves. 1. Need 8 - 10 pair. Check with Fire Department. P. Clean Up (during dinner). 1. 15 - 20 ice cream'-buckets. 2. Liquid soap and Handi-rwipes. Q. Rubbish. 1. Find rubbish hauler. 2. Need 4 or 5 dumpsters for trash. Fewer needed if larger size used. 3. Need 6 or 8 55 gal. barrels for plates, cups and silverware. R. Balloons (we sold for 500)- 1. Order tank and balloons. 2. String. 3. Clown to pass out balloons to children. 4 S. Miscellaneous. 1. Cash boxes. 2. Change.- 3. P. A. System and music. III. BUY MATERIALS A. Grocery items needed. 1. 8 gallons ickles (hamburger slices). 2. 500 - 600 + pints milk. 3• 30# butter pats. 4. 30# sour cream (5# containers). 5. Coffee. 6. Salt and pepper. 7. Rolls. 8. Cole Slaw. B. Silverware. 1. Use only knives and forks. 2. Mendota Heights Club will supply necessary spoons. C. Paper products needed. 1. Potato wrap (foil)" 2. 1500 cups for coffee. 3. Divided plates. 4. Napkins (to wrap silverware and also some extra for serving during dinner). 5. Butcher string to tie turkeys. 6. Rolls of paper towels. 7. Handi-wipes. 8. Cheesecloth - 6 packages. Used to cover cooked turkeys). D. 2501 rope (approx. 1") and stakes. E. Ice. F. Plastic bags for turkey carcasses. G. Tip Boards. IV. CLAN UP A. Area to be totally cleaned before leaving* 5 B. Tent needs to come down. C. Chairs and tables go back. D. Serving utensils get washed. E. Roasters cleaned out. F. Carving tent returned. G. Carving tent and table. f. P. A. System. g. BBQ pit. h. Clean all skewers (soak overnight). 4. Wrap potatoes and bake to be ready at 3:30 p.m. 5. Turkeys thawed and ready. Pick up frozen on Wed- nesday in Mpls. Rotate to thaw evenly. Protect from over thaw. 7 A.M. 6. Turkeys - begin tying on spits by 7 a.m. Takes at least 2 hours with 10 men helping. 7. Begin cooking fires at 8:30 a.m. Make sure turkeys are cooking by 9:30 at the latest. NOON 8. Set up serving tables. 9. Wrap forks and knives in napkins. 10. Wash all tables off and put salt and pepper jars on table. k. P.M. 11. Need full time announcer for tip boards, carcass sales, seating availability, et. 12. Clean up and take down. Return as many items as possible. DO NOT CLEAN OR WASH TURFY 511111 13. On Sunday pick up display signs. 14. On Monday return cookers and all borrowed or rented equipment.
