Document - Historical information/data - Historical Object Accession Instructions - 12/17/2008 Historical Object Accession Instructions 1. Open document: ?1.EHS Accession Worksheet? 2.Enter name object, i.e. ?Outstanding Young Farmer plaque? or ?Storm-Braided Flag? 3.Assign accession number as follows: Year.month.day.number e.g.: 2008.12.31.01 note: If objects are in a set, you may hyphenate the accession number e.g.: 2008.12.31.15-1 and 2008.12.31.15-2 4.If known, enter the source of the object (person/organization who donated it) and any pertinent information about the source. 5.Note current location of object (i.e. Historic Town Hall, Municipal Center), and enter current date. 6.Describe physical condition of object, including degree of wear, scratches, etc. 7.Note any possible conservation treatments recommended for the object. 8.Describe the object: size, color, type, etc. 9.Note whether or not it is in a set or pair. 10.When possible, note the provenance/manufacturer, artist/designer, user(s), time of use, place of use, and any associations with groups, events or ethnicities. 11.Record any inscriptions or markings on object. 12.Record the measurements (height, width and depth) 13.Note style and social use, if possible. 14.Enter the authority under which the item is accessed (normally Eagan Historical Society Committee) and the date accessed. 15.Upload picture, paste into the word document. Alter text wrapping (right-click on picture) so that the picture aligns properly with the document?s formatting. Often ?in front of text? or ?square? will allow you to freely drag the picture to where you would like it positioned in the document. 16.Open the excel spreadsheet: ?EHS Accession List? and enter the accession number in column A, a description of the item in column B, the current location of the item in column C, and you may add any additional notes in column D (i.e. if the worksheet for the item is very sparsely completed, insert ?incomplete?)
